What we keep
- Your organization: its name, address, plan, and Stripe customer id.
- Members: each person's email address and role, and when they joined and last signed in.
- What you put in the apps: for example meeting transcripts, summaries, Persona sources and chats.
- Usage: how much AI each person used, by app, so admins can see it and limits work.
- The public site: page views with country and referring site, and a daily scrambled visitor id. No IP addresses.
How it's kept apart
- Each organization has its own databases on Cloudflare. No database holds two organizations' data.
- Meeting content and chats are encrypted with a key that belongs to that organization alone.
- Sign-in works only at your organization's own address; a sign-in for one organization is never accepted by another.
- The shared list of organizations holds only names, addresses, plans and billing ids. To allow one free trial per person, it keeps scrambled (hashed) email addresses and domains, not the addresses themselves.
Who we share it with
- Anthropic (Claude), to read, summarize and answer. Through its commercial API, Anthropic doesn't train on this data and deletes it within 30 days, except content its safety systems flag, which it may keep up to 2 years.
- Voyage AI, to index Persona sources for search.
- Cloudflare, which hosts Coware. Resend, which sends sign-in, invite and sharing emails. Stripe, which handles payments. Google, if you choose to sign in with Google.
- We don't sell data or use it for advertising.
Deleting data
- Members can delete what they created in each app; admins can remove members.
- When a trial or subscription ends, the organization's data is deleted 30 days later. Cloudflare's encrypted disaster-recovery copies expire within a further 30 days.
- To delete your organization sooner, email hello@coware.app from an admin's address.
